Sentry Elevator Inspections provides certified elevator inspection services in Florida. This policy explains what information we collect through this website, our client portal, and our inspection software, and what we do with it.

Who this covers

  • Elevator owners and property managers who use our client portal to view inspection records or request an inspection
  • Certified inspectors who use our field and office software to carry out inspections
  • Visitors to this website

What we collect

From clients. Company name, contact name, email address, phone number, and site addresses. Inspection records for your equipment: elevator serial numbers, building names and addresses, inspection dates and types, violation codes, comments, and pass or fail results.

From inspectors. Name, email address, phone number, and Certified Elevator Inspector licence number. Inspection details entered in the field, including signatures and photographs of paper reports.

When you use the client portal.We record the access code used and the IP address of sign-in attempts, so we can detect and block attempts to guess codes. If you choose “remember this device”, we store a random token in your browser — never your access code — which you or we can revoke at any time.

From the website. Standard server logs. We do not run advertising or analytics tracking.

How we use it

To carry out, record, and file elevator inspections; to file inspection reports with the Florida Department of Business and Professional Regulation as required by law; to schedule visits; and to invoice for work performed. We do not use your information for advertising and we do not sell it.

Google Drive

Where an inspection company connects a Google account, we use the Google Drive API to save copies of completed inspection reports, certificates, and state submission files into that company’s own Google Drive.

We request only the drive.file scope. This limits our access to files our application itself creates — we cannot see, read, or modify any other file in your Google Drive. We do not read the contents of files we upload beyond what is needed to place them in the correct folder, and we do not transfer Google user data to any third party.

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Access can be revoked at any time from your Google Account permissions page, or by disconnecting Google Drive in our software.

Who we share it with

  • Florida DBPR— inspection results, as required by law
  • Supabase— our hosted database and file storage provider
  • Google Drive— as described above, into the inspecting company’s own account
  • FreshBooks— client name and contact details, and inspection descriptions, for invoicing
  • Anthropic— images of scanned paper reports are processed to read the handwriting on them, and are not used to train models

We do not share your information for marketing purposes.

How long we keep it

Inspection records are retained as business and regulatory records. Portal device tokens expire after 90 days. Sign-in attempt logs are kept only long enough to serve their anti-abuse purpose.

Your choices

Clients may request a copy of their inspection records, ask for their contact details to be corrected, or ask us to reissue or revoke their portal access code. Inspectors can update their own phone number and licence number in the app. To request deletion of information we hold, contact us using the details below. Some inspection records must be retained to meet legal obligations.

Children

Our services are for businesses and are not directed at children.
